2. Agreement to Terms
By accessing and using Laplandmail ("Service"), you accept and agree to be bound by the terms and provisions of this agreement. If you do not agree to these Terms of Service, please do not use our Service.
3. Description of Service
Laplandmail provides a seasonal Christmas service offering personalized Christmas postcards and letters from Santa Claus, mailed from Lapland, Finland. Our service includes:
- Customizable postcard designs featuring authentic Lapland imagery
- Personalized letter from Santa with your custom message
- Physical mailing to addresses worldwide via Finnish Post (Posti Group)
- AI-assisted text generation for creative messaging
Seasonal Operation: This is a seasonal service operating during the Christmas period. Orders must be placed by December 5th to ensure delivery before Christmas. All orders are processed using mass mailing techniques in batches to optimize delivery times.
Delivery Partner: All orders are fulfilled and delivered through Finnish Post (Posti Group), the official postal service of Finland. Shipments are sent as standard international mail without tracking. Delivery times vary by destination and cannot be guaranteed due to factors beyond our control.
4. Product Orders and Payments
4.1 Order Acceptance
All orders are subject to acceptance and availability. We reserve the right to refuse or cancel any order for any reason, including but not limited to product availability, errors in pricing or product information, or suspected fraudulent activity.
4.2 Pricing
All prices are listed in Euros (EUR) and include applicable VAT. Shipping costs are calculated separately and displayed before final checkout. We reserve the right to change prices at any time without prior notice.
4.3 Payment Processing
Payments are processed securely through Stripe, Inc. By providing payment information, you represent and warrant that you are authorized to use the payment method provided. We do not store your full credit card information on our servers.
4.4 Order Confirmation and Binding Contract
You will receive an order confirmation email after successfully completing your purchase. Once payment has been processed and an invoice has been issued, a binding contract is formed between you and STN Customs, s.r.o. At this point, cancellation is no longer possible due to the personalized nature of the products.
5. Personalization and Content
5.1 User-Generated Content
You are solely responsible for the content you provide for personalization, including text messages and recipient addresses. You agree not to submit content that:
- Is illegal, harmful, threatening, abusive, or hateful
- Infringes on intellectual property rights
- Contains profanity, obscenity, or sexually explicit material
- Promotes discrimination, violence, or illegal activities
- Contains personal information of third parties without consent
5.2 Content Review
We reserve the right to review and reject any personalized content that violates these terms or is deemed inappropriate for our family-friendly Christmas service.
5.3 AI-Generated Content
Our AI text generation feature uses Google Gemini API and is provided as a creative tool. You are responsible for reviewing and approving all AI-generated content before finalizing your order. We are not liable for the content, accuracy, or appropriateness of AI-generated text.
6. Shipping and Delivery
6.1 Seasonal Christmas Delivery Service
IMPORTANT: Laplandmail is a seasonal Christmas service. All orders are processed and shipped in batches to ensure delivery before Christmas. Our service operates on the following terms:
- Order Deadline: December 5th (orders received after this date cannot be guaranteed for Christmas delivery)
- Shipping Method: Mass mailing in batches via Finnish Post (Posti Group)
- Delivery Goal: All orders are shipped with the aim of delivery before December 25th
- Variable Shipping Times: Processing and shipping times vary depending on order date and destination country
6.2 Delivery Partner and Mass Mailing
All shipments are handled by Finnish Post (Posti Group), the official postal service of Finland. We use a mass mailing approach, where orders are processed and shipped in batches to optimize delivery times for Christmas. Orders received earlier in the season may be held for batch processing alongside later orders to ensure coordinated delivery timing.
6.3 International Delivery Times
International delivery times vary significantly by destination country and typically range from 7-21 days from the date of shipment. Factors affecting delivery time include:
- Destination country and local postal service efficiency
- Customs clearance procedures
- Holiday season postal volume
- Weather conditions and force majeure events
No Delivery Guarantee: While we aim for pre-Christmas delivery, we cannot guarantee specific delivery dates due to factors beyond our control. We are not responsible for delays caused by postal services, customs, weather, strikes, pandemics, or other force majeure events.
6.4 Order Cut-Off Date
To maximize the likelihood of delivery before Christmas, orders must be placed by December 5th. Orders placed after this date may still be processed, but Christmas delivery cannot be guaranteed. We reserve the right to reject orders placed after the cut-off date if we determine that timely delivery is not feasible.
6.5 Shipping Address
You are responsible for providing accurate and complete shipping addresses. We are not liable for orders delivered to incorrect addresses provided by you. Due to the mass mailing nature of our service, address changes may not be possible once batch processing begins.
6.6 Lost or Damaged Items
We are not responsible for items lost or damaged during postal transit by Finnish Post or subsequent carriers. If you believe your order was lost, please contact us by January 15th of the following year, and we will work with you to investigate the matter. Claims made after this date may not be eligible for investigation.
6.7 Tracking
Standard mail shipments via Finnish Post do not include tracking. Orders are sent as regular international mail. We cannot provide tracking numbers or real-time delivery status updates.
7. Right of Withdrawal and Refunds
7.1 Custom-Made Products Exception
IMPORTANT: Under European Union Consumer Rights Directive 2011/83/EU Article 16(c) and Slovak consumer protection law, the 14-day right of withdrawal does NOT apply to goods made to the consumer's specifications or clearly personalized.
All Laplandmail products are custom-made and personalized items created specifically according to your individual specifications, including your personalized text message and chosen recipient address. Therefore, you do not have the right to cancel your order or return the product once payment has been processed and the invoice has been issued, as this creates a binding contract.
7.2 No Refunds Policy
Due to the custom nature of our products, we cannot offer refunds or cancellations once:
- Payment has been successfully processed
- An invoice has been issued
- The personalization process has begun
This policy is in accordance with EU Directive 2011/83/EU Article 16(c) and Slovak Act No. 102/2014 Coll. on Consumer Protection in Distance Selling.
7.3 Exceptional Circumstances
Refunds may be considered only in the following exceptional cases, at our sole discretion:
- We made a significant error in fulfilling your order (wrong design sent, incorrect text printed)
- The product was significantly damaged or defective upon receipt due to our error
- Your order was not mailed within the stated timeframe due to our error
Refund requests must be submitted within 30 days of order placement via email to contact@laplandmail.com with photographic evidence where applicable. Approved refunds will be processed to the original payment method within 14 business days.
7.4 Pre-Payment Cancellation
You may cancel your order without penalty only if the cancellation request is received before payment processing is completed. Once payment has been processed and confirmed, the order becomes a binding contract and cannot be cancelled.
8. Intellectual Property
All content on this website, including text, graphics, logos, images, designs, and software, is the property of STN Customs, s.r.o. (trading as Laplandmail) or its licensors and is protected by copyright, trademark, and other intellectual property laws of the Slovak Republic and international treaties.
You are granted a limited, non-exclusive, non-transferable license to access and use the Service for personal, non-commercial purposes only. You may not reproduce, distribute, modify, or create derivative works without our express written permission.
By submitting content for personalization, you grant STN Customs, s.r.o. a non-exclusive, worldwide, royalty-free license to use, reproduce, and process your content solely for the purpose of fulfilling your order and providing the Service.
9. Privacy and Data Protection
Your privacy is important to us. Our collection, use, and protection of your personal data is governed by our Privacy Policy, which complies with the General Data Protection Regulation (GDPR) and Slovak data protection laws. By using our Service, you consent to our data practices as described in the Privacy Policy.
Third Parties with Access to Your Data: To provide our services, we share necessary data with the following third-party processors:
- Finnish Post (Posti Group): For order fulfillment and delivery
- Stripe, Inc.: For payment processing
- Google LLC: For AI text generation (Gemini API) and analytics
- Meta Platforms, Inc. (Facebook): For marketing and advertising (if you consent)
All third-party processors are bound by data processing agreements and comply with GDPR requirements.
10. Limitation of Liability
To the fullest extent permitted by Slovak law, STN Customs, s.r.o. shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of profits or revenues, whether incurred directly or indirectly, or any loss of data, use, goodwill, or other intangible losses resulting from:
- Your use or inability to use the Service
- Any unauthorized access to or use of our servers and/or any personal information stored therein
- Any interruption or cessation of transmission to or from the Service
- Any bugs, viruses, or the like that may be transmitted through the Service by any third party
- Any errors or omissions in any content or for any loss or damage incurred from using content posted or transmitted through the Service
- Delays, loss, or damage caused by Finnish Post or other postal services during delivery
Our total liability to you for all claims arising from or related to the Service shall not exceed the amount you paid us for the specific order giving rise to the claim.
This limitation of liability applies to the fullest extent permitted by Slovak law and does not affect your statutory consumer rights under Slovak and European Union consumer protection legislation.
11. Warranty Disclaimer
The Service is provided "as is" and "as available" without warranties of any kind, either express or implied, including but not limited to implied warranties of merchantability, fitness for a particular purpose, or non-infringement. We do not warrant that:
- The Service will meet your specific requirements
- The Service will be uninterrupted, timely, secure, or error-free
- The results obtained from using the Service will be accurate or reliable
- Any errors in the Service will be corrected
- AI-generated content will be error-free or appropriate for all purposes
This warranty disclaimer does not affect your statutory consumer rights under Slovak and European Union consumer protection legislation.
12. Indemnification
You agree to indemnify, defend, and hold harmless STN Customs, s.r.o., its officers, directors, employees, and agents from and against any claims, liabilities, damages, losses, and expenses, including reasonable attorneys' fees and legal costs, arising out of or in any way connected with:
- Your access to or use of the Service
- Your violation of these Terms of Service
- Your violation of any third-party rights, including intellectual property or privacy rights
- Content you submit through the Service
- Any breach of applicable laws or regulations
13. Modifications to Service and Terms
We reserve the right to modify, suspend, or discontinue the Service (or any part thereof) at any time with or without notice. We may also revise these Terms of Service at any time by updating this page. Your continued use of the Service after any such changes constitutes your acceptance of the new Terms of Service.
14. Governing Law and Dispute Resolution
14.1 Governing Law
These Terms of Service shall be governed by and construed in accordance with the laws of the Slovak Republic, including but not limited to:
- Civil Code (Act No. 40/1964 Coll.)
- Consumer Protection Act (Act No. 250/2007 Coll.)
- Act on Consumer Protection in Distance Selling (Act No. 102/2014 Coll.)
- General Data Protection Regulation (EU) 2016/679 (GDPR)
14.2 Court Jurisdiction
Any dispute arising from or relating to these Terms or the Service shall be subject to the exclusive jurisdiction of the courts of the Slovak Republic. For consumer disputes, jurisdiction lies with either:
- The court in the district where the consumer has their permanent residence, or
- The Municipal Court Bratislava, Slovak Republic
Business-to-business disputes shall be subject to the jurisdiction of the courts in Bratislava, Slovak Republic.
14.3 Alternative Dispute Resolution (ADR)
If you are a consumer and have a dispute with us that cannot be resolved through direct negotiation, you have the right to initiate Alternative Dispute Resolution proceedings. The competent body for alternative dispute resolution of consumer disputes is:

You can submit an ADR proposal to the Slovak Trade Inspection only if you have first attempted to resolve the dispute directly with us and your complaint was rejected or not resolved within 30 days.

14.5 Negotiation

15. Severability
If any provision of these Terms of Service is found to be unenforceable or invalid, that provision will be limited or eliminated to the minimum extent necessary so that these Terms shall otherwise remain in full force and effect.
